Invitation to the accompanying Exhibition and Product Reviews
Ladies and Gentlemen,
the Library and Information System (BIS) of the Carl von Ossietzky University of Oldenburg, Germany is this year's host of the Annual Meeting of the German Medical Library Association (AGMB). The Annual Meeting will take place from September 10 to 12, 2018 under the motto
„Medizinbibliotheken: offen und innovativ aus Tradition“

On behalf of the AGMB, the Library and Information System of the Carl von Ossietzky University of Oldenburg invites you and your company to participate in the accompanying exhibition.
The meeting and exhibition will take place in the Central Auditorium (Hörsaalzentrum, A14) of the Carl von Ossietzky University of Oldenburg. The building offers space for all satellites, discussion meetings and product reviews connected with the conference.
The exhibition will be located in the auditorium’s foyer on the ground floor. Space is available for a maximum of 26 booths (2m by 1.4m). For further information, please refer to the floor plan.
The local organizing committee will be responsible for booth allocation, product review scheduling and sponsorship.
The booth fee is 1,200 Euros per booth. This includes furniture (a table, two chairs, a poster board), electricity and WiFi, as well as the attendance fee for two booth personnel (includes participation in the social events as well as in all sessions except the members meeting, closed workshops and workshops that require a charge).
Opportunities to present your products, services and new developments are a twenty-minute product review during the lunch break (6 slots) or a fifteen-minute product review during the afternoon coffee break (2 slots). No other session will be scheduled for the periods in which the product reviews take place. The fee for a product review is 660 Euros.
We ask you to supply us with a short abstract of your product review to be included in the conference proceedings.
There is also the option of representing your company as “walking agent” without a booth. This option is available for the price of 300 Euros per agent. We ask that you register as “walking agent”.

Display your logo or company posters, supply advertising material to be included in the conference tote bags, advertise in the conference proceedings or contribute to the coffee breaks. Contact us with suggestions, questions or your own ideas for sponsoring. Find more information on sponsoring options in the sponsoring info. All stated prices are net prices and 19% VAT will be charged additionally.
The main sponsor has the right of first choice of their booth location until February 17, 2018. After this date, allocation of booths will be on a first-come first-serve basis, according to the respective preferences on the registration form.
The AGMB board will manage all billing. Your booking information will be forwarded to Ms. Monika Halser, AGMB treasurer.
To register, please use the application form. Registrations must be received by April 30, 2018. The same deadline applies for the submission of an abstract if you are planning to give a product review (see above).
In case of the cancellation of a booked booth or product review, half of the fee will be billed if cancelled before June 30, 2018. After this date, the full amount is due and will be billed.

Access, Booth Setup and Parking
The area in front of the Central Auditorium (Hörsaalzentrum, A14) can be accessed by car for delivery purposes. Free parking around the campus is possible but depends on availability: https://www.uni-oldenburg.de/en/facility-management/parking/
You may start setting up your booth at 8 a.m. on Monday, September 10, 2018. Dismantling of the booths must not start before 11 a.m. on Wednesday, September 12, 2018.
There will be a guarded cloakroom during conference sessions next to the conference office. Local organization committee members will be present at the office throughout all conference activities. If you have luggage or valuable booth material that you would like to lock away overnight, please contact Mrs. Schimpf in advance. Please keep in mind that the Library and Information System of the Carl von Ossietzky University or the Carl von Ossietzky University cannot be held liable for any loss, theft or other damages.
Booth furnishings and Size
The exhibition will be located in the auditorium’s foyer on the ground floor. Space is available for a maximum of 26 booths (2m by 1.40m). For further information, please refer to the floor plan.
Standard furnishing for each booth is one table (1.40 m by 0.80 m) and two chairs. Please note, however, that booth space is limited. The fee for each booth will be 1,200 Euros.
Access to the internet via Wi-Fi and power supply (220 V AC) is included in the booth fee. If you need more than one connection, please indicate the number and state the purpose of additionally required connections in the registration form.
Free catering will be provided during the coffee breaks from Monday through Wednesday and during the lunch break on Tuesday. In addition, The Studentenwerk Oldenburg operates dining halls (Mensas), cafés and cafeterias on the campus: dining halls, cafes and cafeterias

Delivery of Exhibition Material
Booth material may be delivered from 8:00 a.m. on September 10, 2018.
Small items for your booth can be sent to the University Library in advance. Please make sure that your parcels are clearly marked as conference material, stating your company name and exhibition booth number.

It is mandatory that before sending any material arrangements be made with Mrs. Schimpf.

All available booths will be allocated in the order the registration forms have been received. Allocation will start on February 17, 2018 after the main sponsor has communicated their preferred booth. Registration closes on April 30, 2018.
Services included in the booth fee
The booth fee includes exhibitors' conference ID cards for two persons registered for your company. ID cards will grant access to all conference sessions (except for the sessions designated for AGMB-members only and the preceding workshops on Monday), and also include attendance of the informal dinner on Monday evening and the joint dinner on Tuesday evening. Please provide personal data of these participants to Mrs. Schimpf on the registration form until August 30, 2018.
If you would like to register additional company participants please use the registration form for regular participants (online in June 2018). For each additional company participant, a fee of 60 Euros will be billed. Please note that these participants should also register by August 30th, 2018.
All prices mentioned are net prices to which 19% VAT will be added.
